Health & Sanitation Guidelines

In this time where standards have changed, we are more confident than ever that in-person meetings can never be replaced. Of course, in the immediate future, we recognize that the way meetings are held must adjust to these new standards. We are happy to remain the leaders in safety and innovation while we navigate through these uncertain times.

Our focus is on reestablishing our venue where guests and staff feel safe and cared for. We are carefully monitoring all government policy updates and changes, and we continue to educate ourselves with all information and suggestions that is being presented to us by our trusted medical professionals.

As a result, the following Health & Sanitation Guidelines demonstrate how serious we are about operating a safe venue for our guests and staff alike.

EMPLOYEE & CLIENT HEALTH SANITIZATION

Physical Distancing

  • Together, we can slow the spread of COVID-19 by making a conscious effort to keep a physical distance between each other. Physical distancing is proven to be one of the most effective ways to reduce the spread of illness during an outbreak. With patience and cooperation, we can all do our part.


Hand Sanitizer

  • Hand Sanitizer dispensers will be placed at key guest and employee entrances and contact areas, such as meeting rooms, reception desks, elevator lobbies and F&B areas. In kitchens and washrooms, proper hand washing with soap will be heavily reinforced.

 

Facial Masks

  • Proper Face Masks will be mandatory for both clients and employees. Clients will be required to wear masks in all public areas outside of their meeting rooms. Use of masks inside the meeting rooms will be at the discretion of the client. All employees will wear masks in all areas at all times.

 

HVAC Ventilation

  • Significant increasing the air exchange rate. As a result, the volume of air in our facility is exchanged with fresh outside air more frequently. The heavy increase in fresh air, as well as increased air running through the filtration system equals lower transmission risk. 

 

Signage

  • There will be health and hygiene reminders throughout the property, including the proper way to wear, handle and dispose of masks and gloves. Reminders of physical distancing and hand washing advisements will also be present

EMPLOYEE’S RESPOSIBILITY

 Daily Staff Pre-Shifts Monitoring

  • Temperatures will be taken upon arrival for shifts, and any employee registering a temperature of 100.0 degrees or higher will be asked to return home and possibly seek medical assistance. Other symptoms such as cough, running nose and sneezing will be monitored.
  • These inspections will be taken by members of our Health & Safety Team and supervised by a Manager.
  • A special form will be filled by each employee before each shift.


Hand Washing

  • Frequent Hand Washing with soap is vital to help combat the spread of virus. All employees will be instructed to wash their hands every 60 minutes (for 20 seconds) and after any of the following activities: using the washroom, sneezing, touching of the face, blowing the nose, cleaning, mopping, smoking, eating, drinking, taking and returning from break, and at the beginning and end of each shift.


Personal Protective Equipment (PPE)

  • We will be providing all of our employees in all departments with washable and reusable masks. Our masks will be worn at all times.
  • Our front and back of house staff will also wear gloves whenever they are cleaning or handling food. They will be training on the proper procedures of glove removal, and hands will be washed whenever gloves are changed.

 

Uniform Cleaning

  • Uniforms will be cleaned by staff at the end of every shift. This includes the masks, which will be deemed as a part of the Vantage uniform.

 

COVID-19 Training

  • All employees will receive training on COVID-19 safety and sanitation protocols with more comprehensive training for our teams with frequent guest contact.

 

Health & Safety Team

  • The Vantage H&S Team will work diligently to oversee all matters related to the health of our employees and our clients, as well as overseeing all cleaning and sanitizing procedures to ensure that the added cleaning measures of public spaces, meeting tables and common touch-points are being cleaned at a heightened frequency.

THE CLIENT JOURNEY

Building Lobby

  • Social Distancing will be on display and assisted by our helpful property management team. Entrances will be managed in a way to prevent over-crowding, and lobby furniture will be removed to avoid gatherings.


Elevator Policies

  • Face Masks will be worn at all times.
  • Our property management staff will be on hand to assist with crowd control and to avoid crowding of elevators.
  • 3 people will be allowed in 1 elevator cab at a time.


Reception Desks

  • Our Welcome Reception Desks have been equipped with clear partitions that allow for simple and safe communications, so that our friendly Customer Service Team can assist in a safe and efficient manner.


Washrooms

  • Due to the permanent fixtures in our washrooms and their private nature, we have not set a maximum occupancy limit in these spaces. However, we still require guests to wear masks and practice distancing, if possible.
  • We ask that guests avoid touching their faces and follow recommended hygiene protocols while in the washroom. 

CLEANING & SANITIZATION PROTOCOL

Creating a New Cleaning Procedure

  • The frequency of cleaning and sanitizing will be increased in all public spaces with an emphasis on frequent contact surface areas. These include doorknobs, elevator buttons, light switches, cabinet handles, faucet handles, tables, countertops and electronics.
  • These frequently touched areas will be cleaned on an hourly basis.


Sanitization Ambassador

  • A dedicated employee will be responsible for frequent cleaning and sanitization of all public areas as well as common touch-points.

 

Hand Sanitizer Availability

  • Hand Sanitizer dispensers will be placed at key guest and employee entrances and contact areas, such as meeting rooms, reception desks, elevator lobbies and F&B areas. In kitchens and washrooms, proper hand washing with soap will be heavily reinforced.

 

Use of Approved and Effective Products

    • Cleaning solutions used are approved for use and effective against viruses, bacteria and other airborne and bloodborne pathogens.

MEETING & EVENT SPACES

Hybrid Meeting Options

  • We understand that the actual attendance for your meetings may decrease. But rest assured that Vantage Venues can bridge that gap by offering state of the art webinars to those who choose to participate from their homes or offices.


Reduced Capacities

  • We recognize that in order to conduct our meetings while still adhering to the physical distancing criteria, we will need to reduce the capacity in all of our meeting rooms and dining rooms. Please consult with our experienced meeting coordinators to learn about our new capacities.
  • In situations where larger rooms are available, upgrades may be provided.

Seating at Round Tables

  • To facilitate the physical distancing standards, our round tables will now consist of a maximum of 4 chairs per round table.

 

Seating at Classroom Tables

  • Our 5’ tables will now be used with one client per table.

 

Theater Seating

  • In setups that do not require tables, our chairs can still be set in an efficient manner, keeping the required distance between each chair.

FOOD & BEVERAGE

Private Lounges & Buffet Stations

  • Many of our meeting rooms are equipped with private lounges for their F&B services.
  • For meeting rooms that do not have private lounges, vacant meeting rooms will be designated as private lounges at no additional cost.
  • At no time will any F&B stations be shared by different clients.
  • Hospitality Stations will be sanitized at least once per hour, which includes cleaning of mugs, dishes and cutlery in touch-point areas.

 

Service Standards & Practices

  • Our trained and sanitized staff will be pleased to serve the buffet lunches to your guests, upon request.

 

New & Creative Menus

  • Individual Menu items created by our Executive Chef to encourage physical distancing and ensuring minimal touch points.

 

Kitchen Procedures

  • Meeting rooms in close proximity to our kitchen will be re-purposed as additional kitchen space to help maximize physical distancing amongst our kitchen and service staff.
  • Hand Washing and Station Cleaning will be enforced at least once per hour
